Volunteer Centre Dorset - Office Manager

Location:    Volunteer Centre Dorset office, Dorchester. Occasional travel across Dorset will be required

Job Title:    Office Manager

Grade:        SCP 19

Salary:        £25,481

Hours:        Full time – 37 hours per week

Contract:    Permanent

Reports to: CEO

Volunteer Centre Dorset (VCD) are committed to supporting volunteering activities throughout our county. Volunteer Centre Dorset are looking for a well-organised and IT savvy individual to fill this exciting new role. As the office manager, your main duties will be as follows:

Key Objectives of the job

  • To support and manage the Volunteer Centre’s IT systems
  • To manage the admin team of staff and volunteers
  • To work with the CEO and VCD team to develop new initiatives.
  • To manage day to day enquiries from organisations, partners, volunteers, and the general public
  • To support the Board of Trustees with minute taking, organising meetings, managing reports etc.
  • Ensure that the charitable purposes of VCD are followed and to deliver the VCD vision
  • To work with the CEO and trustees to develop the business plan, reflecting the core values and activities of VCD and the needs of the Volunteer and Community Sectors and Dorset’s communities.

Staff Management and Leadership

  • To line manage and supervise administration staff and volunteers as agreed with the CEO.
  • To induct and provide in house training for new staff and volunteers where appropriate.
  • To manage day to day running of the office, ordering of supplies etc.
  • To work with the senior management team to ensure the business plan is delivered.

Finance and Legal

  • Manage volunteer expenses, petty cash and daily expenditure with approval from the CEO, and finance officer.
  • Contribute data and information towards the preparation of an annual report
  • Work with CEO to ensure that the organisation has the right management systems, policies and structures in place to carry out its work effectively, accountably and safely, and that professional standards are met.

Communication and representation

  • Deliver the VCD message and encourage collaboration with groups, communities and VCD beneficiaries, aims and deliver positive outcome.
  • Establish mechanisms for listening to the views of beneficiaries on the organisation’s performance
  • Work effectively with the team, across all projects, participating in staff meetings and being part of subgroups to develop specific areas of the business plan and activities as required.

  • Proficient in using Microsoft Office 365 programs
  • Excellent understanding of IT management in an office setting

Desirable skills

  • Have an understanding of the Voluntary and Community Sector
  • Knowledge of fundraising (training will be provided, but a willingness to learn would be welcome)
  • Experience of supporting people with disabilities, including those with mental health issues.
  • Be innovative and solution focussed
  • Be willing to attend events which may be over weekends.
  • To have a full driving licence and access to a vehicle as we cover rural Dorset and at times you may be supporting a member of the team across Dorset.

Volunteer Centre Dorset - Marketing Administrator

Salary:        £23,541(FTE)

Hours:        Part- time – 16 - 20 hours per week (to be agreed)

Contract:    Permanent

Volunteer Centre Dorset are looking for a creative, innovative, and passionate individual to fill this exciting new role. As the marketing administrator, your main duties will be as follows:

Key Objectives of the job

  • To help develop VCD’s marketing strategy to promote our services in a professional and visual way.
  • To manage and develop our website
  • Produce digital and print marketing materials
  • To coordinate events and the marketing of events
  • To work collaboratively with the VCD team, supporting all the projects internally and externally
  • To work closely with our stakeholders and partners to develop a strong, collaborative marketing approach
  • To support the wider Voluntary and Community Sector, promoting the sector to Dorset’s communities
  • To be aware of trends in volunteering, nationally and locally and work with the senior leadership team to implement changes to reflect this
  • Contribute data and information towards the preparation of an annual report

Communication and representation

  • Deliver the VCD message and encourage collaboration with groups, communities and VCD beneficiaries
  • Establish mechanisms for listening to the views of beneficiaries on the organisation’s performance
  • Develop and implement integrated campaigns and media strategy, using a variety of media channels which will raise VCD’s presence and profile in an engaging way.
  • Act as an ambassador for VCD, networking widely to build new and existing strategic relationships (corporate, statutory and third sector).
  • Use appropriate communication to deliver the right message about our programmes. Work with the team to develop engaging communications and actions.
  • Manage the development and maintenance of effective channels of marketing/communication

Essential Skills

  • Experience of using social media in a business setting
  • Experience and understanding of SEO
  • Experience and understanding of using content management systems (CMS)
  • Excellent copywriting skills
  • Be a creative and innovative individual
  • A good knowledge of Office 365 programs and IT systems
  • To work well in a team environment as well as be able to use own initiative
  • Good organisational skills

Desirable

  • Graphic Design skills
  • Have a full driving license and access to a car

Community Credit Scheme - Self Employed Gardener

We are seeking someone with good gardening knowledge who can lead a small group of volunteers, some of whom have additional needs, in Weymouth on a weekly basis.  

Volunteer Centre Dorset (VCD) promotes volunteering to all throughout Dorset and are accredited by the NCVO. The Community Credit Scheme is a project run by VCD and enables adults with learning disabilities to volunteer, with the support of a Mentor or Befriender if appropriate.  

This project is seeking a lead gardener who can deliver workshops on a self-employed basis from March to October 2022 for four hours a week, two of these hours must be used on a Friday morning between 10.30am and 12.30pm.   

We are looking for someone with good communication skills, who will promote equality and diversity and has empathy for others. This role will enhance the lives of the people working on the project and benefit the local community. 

Your role will be to: 

  • Enable people with additional needs to grow food & plants in a small plot 
  • Encourage local people to get involved through conversations and helping at events 
  • Provide guidance and knowledge in gardening and supervise people attending the group 
  • Promote Volunteer Centre Dorset and the Community Credit Scheme
  • Make sure all equipment is used properly and within Health and Safety guidelines
